Block a full day in Google Calendar

Mark a full-day event in Google Calendar as Busy, so Leadgains and other booking tools do not keep seeing that day as available.

Brief overview

When you block a full day in Google Calendar, the event can remain set to Free. It may look blocked in your own calendar, but for availability checks that day does not count as busy.

  • Use Free only for reminders, birthdays or informational day notes.
  • Use Busy for holidays, training days, closing days or any moment where nobody should be booked.
  • Check this especially for events with All day, because they are easy to leave on the wrong status.
If the full-day event is set to Free, the agent or booking tool can still show available slots on that day.

Step-by-step plan

Step 1 - Open the full-day event

Open Google Calendar and click the event you want to use to block a full day. If you create a new block, select All day.

Step 2 - Check the Free or Busy status

Look near the bottom of the event settings. If the dropdown is set to Free, the event does not block availability.

Step 3 - Set the event to Busy

Click the Free dropdown and choose Busy. Then save the event. From that point on, the full day is read as busy by systems that check Google Calendar availability.

Use the same check when editing an existing full-day event. Changing only the title or date is not enough if the status is still set to Free.

Common problems

I blocked a full day, but bookings are still possible.

Open the Google Calendar event and check whether it is set to Busy. If it is set to Free, the day remains available for booking tools.

Should every full-day event be set to Busy?

No. Birthdays, reminder holidays or internal notes can stay on Free. Only set real blocks to Busy.

Why does this affect availability?

Google uses the Free or Busy status to determine whether a moment stays available. Booking tools use that busy information when they retrieve available slots.

Is this the same as visibility or privacy?

No. Free or Busy determines whether time is blocked. Default visibility, Public and Private mainly determine which details others can see.
