Create and manage tasks

Use tasks when someone from the team needs to follow up on something later, such as calling a lead back, checking an appointment or checking additional information.

Brief overview

Open Tasks in app.ldgns.be via Contacts and then Tasks. There you can see all open tasks, filters and the button to add a new task.

A good task should at least have a clear title, a short description and a due date. Link a contact or assignee when necessary, so the team immediately knows who the follow-up belongs to.

Use the search bar, filters and status column to find, complete or check tasks later.

Step-by-step plan

Step 1 - Open the task list

Click on the left Contacts, click at the top Tasks and then use Add Task to create a new task.

Step 2 - Fill in the task clearly

Give the task a short title that immediately makes it clear what needs to be done. Add additional context to the description, for example why someone should call back or what needs to be checked.

Choose a Due date and time. Turn on Set up recurring tasks only when the same task must repeat at fixed times.

Step 3 - Link an assignee or contact when needed

Use Assign to when a specific employee needs to follow up on the task. Use Associate with when the task belongs to a contact, opportunity, or other object.

Do not leave a task vague. If several people could interpret it differently, write in the description who has to do what and when the task is done.

Step 4 - Save the task

Click at the bottom right Save. If you want to immediately create a similar task, use Save and add another.

Step 5 - Search or filter the task afterwards

Use the search bar to search for the title. You can also filter by person responsible, status or due date, for example to see tasks that are due today or are overdue.

Common problems

I don't see the Tasks tab.

Check that you are in the Contacts module. The Tasks tab is at the top next to Smart lists and Bulk actions.

The Save button remains disabled.

Check that the title is filled in. Also enter a specific due date and time when the task must be completed at a certain time.

I don't know who to assign.

Leave Assign to empty if it is not yet clear, but state in the description who should normally take on the task. Update it later once the assignee is known.

I can't find my task again.

Search for a word from the title and check the filters Assignee, Status and Owed Date. Too tight a filter can hide tasks.

When do I use a task and when a note?

Use a task when someone still needs to do something. Use one note when you only want to keep context for a contact.
