No-show follow-up: timing and WhatsApp messages

When someone does not show up for an appointment, Leadgains can automatically follow up to plan a new moment. Below you can see when each message is sent and what the English WhatsApp templates look like.

Overview

The no-show follow-up starts after an appointment is recognized as a no-show. Regular appointment reminders stop, and Leadgains tries to get the lead booked again. The direct message is sent immediately after the no-show. D1, D2 and D3 are then sent daily around 10:00.

No-show Leadgains recognizes that the person did not show up and marks the contact as no-show.
Direct First message immediately after the no-show to find a better moment.
D1 The next day, a short attempt to schedule a new appointment.
D2 If there is no clear next step yet, a soft interest check follows.
D3 Final soft check. After that, the no-show follow-up is closed.

WhatsApp templates

These are the messages sent after the person did not show up, starting with a direct message and then daily around ten o'clock.

Direct: immediately after no-show

This message is sent as soon as the appointment is recognized as a no-show. The goal is to find a better moment without judgement.

This is the final standard message in the no-show follow-up. The lead gets one more chance to share questions or doubts.

When does the no-show follow-up stop?

The no-show follow-up is meant to pick up a missed appointment again. As soon as there is enough clarity, Leadgains stops this sequence.

The lead books a new appointment

The no-show follow-up is no longer needed. The regular appointment confirmation and reminders then take over.

The team clicks Remove Follow Up

Use this when further follow-up is no longer wanted. Also see Remove someone from follow-up.

The lead clearly says they are not interested

The contact should then be removed from regular follow-up so the messages do not feel pushy.

The lead sends STOP or opts out

This is treated as an unsubscribe. See What happens with STOP or DND?.

Why does someone get no-show follow-up?

The no-show flow combines a few checks. This prevents someone from continuing to receive appointment reminders after a missed appointment, while still keeping a chance to reschedule.

Enters no-show follow-up

  • The appointment was marked as no-show.

Gets removed from follow-up

  • The lead says they are no longer interested.
  • The lead asks not to be contacted anymore.
  • There is confusion, irritation or a clear later agreement with the team.
  • The lead has chosen another solution or says they will reach out later themselves.

D3 is the final standard message. If there is no next step after that, the no-show follow-up is closed and the team can close or manually follow up the opportunity.
