No-show follow-up: timing and WhatsApp messages

If someone does not show up for an appointment, Leadgains can automatically contact you again to plan a new time. Below you can see when each message is sent and what the Dutch WhatsApp templates look like.

Brief overview

The no-show follow-up starts after an appointment is recognized as a no-show. The regular appointment reminders stop, after which Leadgains attempts to reschedule the lead. The direct message will leave immediately after the no-show. D1, D2 and D3 are then sent out every day around 10 am.

No show Leadgains recognizes that the person did not show up and marks the contact as a no-show.
Immediately First message immediately after the no-show to look for a better time.
D1 The next day a short attempt to meet again.
D2 If there is no clear follow-up yet, a soft interest check follows.
D3 Final soft check. Then the no-show follow-up is completed.

WhatsApp templates

These are the messages sent after the person has not shown up, starting with a direct message and continuing daily around ten o'clock.

Immediately: immediately after no-show

This message will be sent as soon as the appointment is recognized as a no-show. The idea is to find a better moment without judgement.

This is the last standard message in the no-show follow-up. The lead gets one more chance to share questions or doubts.

When does the no-show follow-up end?

The no-show follow-up is intended to restart a missed appointment. Once there is enough clarity, Leadgains stops this sequence.

The lead reschedules

The no-show follow-up is no longer necessary. The normal appointment confirmation and reminders then take over.

The team clicks Remove Follow Up

Use this when further follow-up is no longer desired. See also Remove someone from follow-up.

The lead clearly indicates that he or she is not interested

Then the contact should go beyond the normal follow-up, so that the messages do not feel intrusive.

The lead sends STOP or opt-out

This will then be treated as deregistration. See What happens at STOP or DND?.

Why does someone get no-show follow-up?

For the no-show flow, a few checks are combined. In this way, Leadgains prevents someone from continuing to receive regular appointment reminders after a missed appointment, but there remains an opportunity to reschedule.

Coming in no-show follow-up

  • The appointment was marked as a no-show.

Is removed from follow-up

  • The lead says he is no longer interested.
  • The lead requests not to be contacted again.
  • There is confusion, irritation or a clear later appointment with the team.
  • The lead has chosen a different solution or indicates that he or she will contact you later.

What happens after D3?

D3 is the last standard message. If there is no follow-up after that, the no-show follow-up is completed and the team can further close the opportunity or manually follow up.
