Testing Booking Bot, DBR Bot and Feedback Bot via WhatsApp

Use this manual as a club to replay a real test lead, assess the bot conversations and provide useful feedback to Leadgains.

Brief overview

With a short WhatsApp command you can restart a test flow for your own number. This way you can see how a real lead experiences the first messages, questions, follow-up and possible appointment flow.

There are three test commands: test booking for the Booking Bot, testdbr for the DBR Bot and test feedback for the Feedback Bot. The capital letters make no difference.

A good test is more than checking whether a message is received. Also see if the bot feels right for your club: is the tone correct, is the explanation clear, are the questions logical and does the bot direct you to the right next step?

Have you encountered an incorrect, strange answer or missing appointment during testing? Report that from the conversation with Report Error, so that Leadgains immediately has the correct conversation, context and screenshot.

Each new test is started on your own telephone number. Therefore, Leadgains first deletes the existing test contact with that number and then automatically creates a new contact. So do not start a test with a number for which you want to keep the existing contact history.

Supplies

  • Your club's official WhatsApp number.
  • Your own WhatsApp number with which you want to receive the test.
  • Conversations when you want to check the new test contact and the messages afterwards.
  • A few minutes to respond as a real lead, not just to receive the first message.
Always send the test commands as a separate message. Do not add extra text, explanation or emoji to the same message.

Step-by-step plan

Step 1 - Choose which bot you want to test

First choose which flow you want to check. Each test starts a different bot and therefore tests a different part of your WhatsApp follow-up.

testdbr DBR Bot The DBR flow: the offer, the bot's first response and the follow-up regarding interest in the promotion. Answer as if you are interested in the pass or promotion. If necessary, ask about available times or indicate a preference.
test feedback Feedback Bot The feedback flow: questions about experience, satisfaction and review or feedback follow-up. Test a positive answer and, in a separate test, a less satisfied answer. Check if the follow-up feels different.

Step 2 - Send the test command via WhatsApp

Open WhatsApp and send one of the three commands to your club's official WhatsApp number. You may use lowercase letters, uppercase letters or a space, for example test booking, TestBooking or Test Booking.

Preferably use lowercase letters: test booking, testdbr or test feedback. That is the easiest to remember and works the same as the capital letter variants.

Step 3 - Wait for the first bot message

After the command, your test will be prepared. Leadgains deletes the old test contact with your telephone number, creates a new test contact and then starts the chosen botflow. You will usually receive the first WhatsApp message within a few minutes.

For example, with the Booking Bot you will see a message that thanks you for your interest and asks whether you prefer to tune in via WhatsApp or receive a call. With the DBR Bot or Feedback Bot you will receive the first message of that specific flow.

Wait for the new bot message before replying further. If you send additional text immediately after the test command, your test may become less clear.

Step 4 - Answer as if you were a real lead

Respond to the bot as if you were a regular customer or lead. For example, test whether the bot asks questions logically, whether the explanation is clear and whether the flow matches what you want to happen in practice.

  • Give natural answers, like a real lead would send them. Short answers are fine.
  • Ask a normal question at least once, for example about the pass, the price, the location, the moment or what someone should bring.
  • Pay attention to duplicate messages, strange repetition, wrong club name, wrong action, wrong language or an answer that does not fit your question.
  • Stop the test when you have seen enough or when the flow has clearly reached the appropriate next step.

Step 5 - Check the conversation in Leadgains

Open Leadgains, go to the correct club account and open Conversations. Search by your name or telephone number. The new contact usually starts with Leadgains test, followed by the type of test.

In the conversation you will see the WhatsApp messages, internal notifications and contact information. This way you can check what the bot sent and how the flow ends up in Leadgains.

Do you see an incorrect or blunt answer in this conversation that needs to be investigated? Then use immediately Report Error and attach a screenshot of the relevant message.

Step 6 - Start a new test when necessary

If you want to test again, send another test command to your club's WhatsApp number. You can restart the same bot or switch to another bot.

The same reset occurs with each new test: the existing test contact with your number is deleted and a new test contact is created. This means you always start with a clean test context.

Take your notes or screenshots first before starting a new test. In Leadgains you will then mainly see the latest test contact with your telephone number.

What to assess?

Use this checklist while you test. This way you provide feedback that can immediately be used to improve the bot.

  • Home: does the correct first message for the selected test arrive?
  • Club details: Is the club name, promotion, location, contact person and tone of voice correct?
  • Flow: Does the bot ask logical follow-up questions and stay on the right topic?
  • Answers: does the bot understand short, normal answers such as "yes", "preferably WhatsApp", "Monday" or "I want a pass"?
  • Appointment direction: Does the Booking Bot or DBR Bot send you to a clear next moment when that is intended?
  • Feedback direction: Does the Feedback Bot respond differently to positive and negative feedback?
  • No noise: no duplicate, old or contradictory messages are mixed up.
  • Leadgains: the conversation is visible in Conversations at the new test contact.

Common problems

Does it matter if I use capital letters?

No. test booking, TestBooking and TEST BOOKING start the same Booking Bot test. The same goes for testdbr and test feedback.

Can I just send "booking" or "feedback"?

Use the full test commands: test booking, testdbr or test feedback. This way you prevent an ordinary customer message from accidentally being seen as a test.

Why did my previous test call disappear?

Because every new test with the same telephone number deletes the old test contact and then creates a new contact. This is deliberately set up so that the bot can always start from scratch.

Can I still view my old test somewhere?

In the regular Leadgains contact card you mainly see the latest test contact. When something needs to be investigated, Leadgains support can use the technical test information to analyze the previous test.

I don't get the first message.

First check that you sent to your club's official WhatsApp number and that you only sent the test command. Wait a few minutes. If nothing comes in after that, tell Leadgains which command you sent, which club number you sent and around what time.

I receive an answer that seems to belong to my previous conversation.

Note the time, take a screenshot and report it via Report Error. Do not immediately start several new tests one after the other, so that the conversation can still be clearly examined.

Can I test multiple times in a row?

Yes. Always wait until the first new bot message has arrived before testing again. This makes it clear which answers belong to which test.

Can I test this with a real lead number?

No, preferably use your own test number. A new test deletes the existing contact with that number and creates a new test contact.
